Job Overview:
We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to our Company President, who specializes in human resources and sales. The successful candidate will play a pivotal role in ensuring the President’s day-to-day activities run smoothly, allowing them to focus on strategic initiatives and business development.
Responsibilities:
- Calendar Management:
- Efficiently manage the President’s schedule, coordinating internal and external meetings, conferences, and appointments.
- Prioritize and optimize the President’s time, ensuring timely attendance to critical events and deadlines.
- Communication:
- Act as a primary point of contact between the President and internal/external stakeholders.
- Handle incoming emails, calls, and correspondence with professionalism and discretion.
- Travel Arrangements:
- Arrange domestic and international travel, including flights, accommodations, and transportation, ensuring seamless logistics.
- Meeting Preparation:
- Prepare agendas, presentations, and necessary documentation for meetings attended or hosted by the President.
- Take meeting minutes and follow up on action items to ensure timely completion.
- Research and Analysis:
- Conduct research on industry trends, competitors, and market dynamics to assist the President in decision-making.
- Human Resources Support:
- Assist in HR-related tasks, such as employee onboarding, documentation, and maintaining confidentiality.
- Sales Support:
- Collaborate with the sales team to coordinate client meetings, proposals, and follow-ups.
- Maintain an organized system for tracking sales activities and client interactions.
- Administrative Tasks:
- Handle general administrative tasks, including filing, expense tracking, and office supply management.
- Complete special projects and assignments as directed by the President.
Qualifications:
- Proven experience as an Executive Assistant or similar role.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Discretion and confidentiality in handling sensitive information.
- Ability to anticipate needs and proactively address challenges.
- Knowledge or experience in human resources and sales is a plus.
Education:
Bachelor’s degree in Business Administration, Management, Human Resources or a related field.
